Freelance Client Onboarding Checklist + Welcome Packet Template (Word & Google Docs)

The first week with a new client sets the tone for the whole project. When goals, scope, and payment terms are vague, you get late feedback, extra revision rounds, "quick" add-ons, and unpaid invoices. A simple client onboarding checklist fixes most of that. Use the same six steps with every client.

The 6-step client onboarding checklist

1. Send an intake questionnaire before the kickoff

Collect goals, audience, deliverables, deadlines, budget, stakeholders, brand assets, and the logins or access you'll need, all in one place. You'll walk into the first call already knowing the basics.

2. Get the agreement signed (and the deposit paid)

Your freelance contract should spell out scope, deliverables, timeline, the payment schedule, late fees, revision limits, who owns the work and when, confidentiality, and how either side can end the project. Don't start work until it's signed. (Have an attorney review any contract template for your location.)

3. Share a client welcome packet

A welcome packet answers the questions clients would otherwise email you about. Include:

4. Run a focused kickoff meeting

Use a timed agenda: goals, roles, timeline review, tools, decisions, and a next-actions table. Send the table as your recap right after the call.

5. Put scope changes in writing

When the client asks for something new, use a scope change request. It records the change, the reason, and the effect on time and cost, and it gets signed before you start.

6. Track invoices and payments

Keep one list of invoice numbers, amounts, what's been paid, the balance, and days overdue. A milestone schedule (deposit, midpoint, final) keeps cash coming in during long projects.
